A gathering becomes stressful when the plan is spread across several places - a recipe saved on the phone, a shopping list on paper, a message with dietary requirements, a reminder in the calendar, a table idea kept as a screenshot.

The Gathering Planner brings the essential information together. It can be used for a dinner, lunch, coffee morning, celebration or small seasonal event.

A full page covers the gathering details and guest list, the feeling you would like the gathering to have, the menu, a preparation timeline from one week before through the final thirty minutes, a shopping list, a serving plan, the table setting, the atmosphere, and a short after-the-gathering review.

What the Planner Brings Together

Gathering Details & Guest List

  • Name, date, arrival and end time, location, number of guests and type of gathering.
  • For each guest: name, confirmed, dietary requirements, arrival notes, and any contribution they are bringing - no unnecessary personal information recorded.

The Feeling & the Menu

  • Three words for how the gathering should feel - for example warm, easy, seasonal, celebratory, intimate, informal, elegant or playful.
  • Arrival drink, first bite or snack, main dish, side dish, bread or accompaniment, dessert, coffee or tea, a non-alcoholic option, and any additional notes.

Preparation Timeline

  • One week before: confirm guests, check dietary requirements, choose the menu, review serving dishes, prepare the shopping list.
  • Two or three days before: buy non-perishable items, prepare freezer-friendly elements, check table linens, select music, confirm practical details.
  • The day before: complete make-ahead food, set the table where practical, prepare drinks, reset guest areas, check bathroom supplies, gather serving utensils.
  • The day of: buy fresh items, complete final food preparation, cool or warm drinks, finish the main household reset, prepare the entrance, switch on music and lighting.
  • The final thirty minutes: put out the first drink, place snacks, light candles safely, change clothing if needed, clear the kitchen sink, and stop beginning new tasks.

Shopping List & Serving Plan

  • Fresh produce, dairy or alternatives, bread and bakery, drinks, pantry, dessert, flowers or natural details, household supplies, and anything else needed.
  • For each dish: serving time, serving bowl or plate, utensil required, temperature and final action.

Table & Atmosphere

  • Table linen, plates, glasses, cutlery, napkins, candles, flowers or branches, water and serving pieces.
  • Playlist, lighting, scent, room temperature and outdoor considerations.

After the Gathering
