The Household Document Index

A clear overview of where important household information is stored and when it needs attention.

The Household Document Index is not a storage folder.

It is a guide to the household’s most important information. Its purpose is to help you locate documents quickly without copying sensitive information into an unsecured overview.

The index should record categories, storage locations, responsible persons and review dates. It should not contain passwords, complete account numbers or unnecessary confidential details.

What to Include, Section by Section

Home and Property

  • Rental or mortgage information, property documents, service charges, home insurance, maintenance records, important measurements, property-related contacts.
  • For each item, record the document or subject, its primary storage location, the responsible person, the review or renewal month, and any current action required.

Energy and Utilities

  • Electricity, gas, water, internet, telephone, waste or municipal services.
  • For each item, record the provider, primary storage location, renewal or review month, responsible person and current action required.
  • Do not include full account details in the general index.

Insurance

  • Home insurance, contents insurance, liability insurance, vehicle insurance, travel insurance and other relevant policies.
  • For each policy, record the policy type, provider, storage location, renewal month, responsible person and whether review is required.

Transport

  • Vehicle documents, maintenance records, insurance, roadside assistance, public-transport subscriptions, parking permits.
  • For each item, record the storage location, renewal or service date, responsible person and next action.

Health Administration

  • Insurance information, appointment records, referral information, medication lists where appropriate, important contacts.
  • Store health information with suitable privacy protection - the general index should indicate location rather than containing detailed medical information.

Work and Education

  • Contracts, certificates, training records, school administration, reimbursement documents, employment-related forms.
  • For each item, record the storage location, review date, responsible person and current action.

Subscriptions and Memberships

  • Streaming, publications, professional memberships, clubs, software, gym or leisure memberships.
  • For each item, record the renewal frequency, cost review month, cancellation method or notice period where relevant, and responsible person.

Warranties and Major Purchases

  • Appliances, furniture, technology, home improvements, other significant purchases.
  • For each item, record the purchase date, warranty end date, receipt location and product information location.

Personal Documents

  • Passports, driving licences, certificates, legal documents, important personal records.
  • The index should state where they are securely stored and when they expire - do not reproduce full identification details.

Emergency Information

  • Emergency contacts, utility shut-off information, insurance contact routes, key household contacts, pet information, essential medical considerations where appropriate.
  • Keep this information accessible to authorised household members but protected from unnecessary access.

Pair It With

This index records where information can be found. It should not contain passwords, complete financial details or unnecessary sensitive data.
